Privacy Policy

Who we are

FillKite makes a form builder plugin for WordPress and runs this website, fillkite.com. In this policy, “FillKite”, “we” and “us” mean the people who build and sell FillKite. We decide how the personal data described here is used, which makes us the data controller for it. You can reach us about privacy at hello@fillkite.com.

This policy covers this website and our own dealings with you. It does not cover the forms you build with FillKite on your own website: for those, you are the controller and your own privacy policy applies.

Data we collect

We collect only what you give us and what we need to run the service:

• Waitlist: your first name, your email address, and a record that you agreed to hear from us, with the date.
• Contact form: your name, email address, the topic you pick and your message.
• Purchases: when you buy FillKite Pro, Freemius handles the checkout. They share your name, email address, country, the plan you bought and your licence details with us. We never see your full card or bank details.
• Support: the messages you send us and anything you choose to attach, such as screenshots or details about your WordPress site.
• Technical data: like every website, our server records basic request data (IP address, browser, the page asked for and the time) in short-lived security logs.

Data inside your forms

Entries submitted through FillKite forms on your website are stored in your own WordPress database. They are never sent to FillKite, and we cannot see them. Anything you connect yourself, such as email delivery, Google Sheets, Google Drive, Stripe or PayPal, sends data straight from your site to that service under your own account.

The free plugin does not send usage data to us. FillKite Pro contacts our licensing service to check your licence and deliver updates; that check sends your site address, licence key and the WordPress, PHP and plugin versions, and nothing from your forms.

How we use your data

• To email the waitlist when FillKite launches, and about major releases if you asked for that.
• To answer your messages and support requests.
• To sell, deliver and renew licences, send receipts and handle refunds.
• To keep this website secure and working, for example by blocking abusive traffic.
• To understand, in total, how many people visit which pages, so we can improve the website.

We do not sell your data, rent it, or use it for advertising.

Legal bases

Where the GDPR or a similar law applies, we rely on:

• Consent, for the waitlist and any product emails. You can withdraw it at any time with the unsubscribe link or by emailing us.
• Contract, for selling and supporting licences and for answering questions before you buy.
• Legal obligation, for keeping purchase records that tax and accounting law requires.
• Legitimate interests, for website security and for cookie-free visit counts that do not identify you.

Who we share data with

We share data only with the providers we need to run FillKite, and only for that purpose:

• Hostinger: hosts this website and our email.
• Freemius: runs checkout, payments, invoices, licences and refunds as the Merchant of Record. Freemius has its own privacy policy for the data it collects at checkout.

Visit counts are kept by an analytics tool that runs on our own server, so that data is not shared with anyone. We may also share data when the law requires it, or to protect our rights and the safety of others.

Cookies and analytics

This website does not use cookies for tracking or advertising, so there is no cookie banner. Our visit counts are cookie-free: they do not store anything in your browser and do not identify you.

WordPress sets a few essential cookies only when an administrator signs in. The Freemius checkout, when you open it, sets the cookies it needs to process your payment. You can clear or block cookies in your browser settings at any time.

How long we keep data

• Waitlist: until you unsubscribe, or until 12 months after launch at the latest.
• Contact and support messages: up to 2 years after the conversation ends, so we can follow up on the same issue.
• Purchase and licence records: as long as your licence is active, and after that as long as tax and accounting law requires.
• Server security logs: a few weeks at most.

International transfers

Our providers may process data in countries other than yours, including outside the European Economic Area. Where the law requires it, those transfers are covered by safeguards such as the European Commission’s Standard Contractual Clauses.

Your rights

You can ask us to show you the personal data we hold about you, correct it, delete it, limit how we use it, send it to you in a portable format, or stop using it. Where we rely on consent, you can withdraw it at any time. Email hello@fillkite.com and we will reply within 30 days. If you are unhappy with our answer, you can complain to the data protection authority where you live.

Children

FillKite is made for website owners and is not meant for children. We do not knowingly collect data from anyone under 16. If you think a child has sent us personal data, tell us and we will delete it.

Changes to this policy

When we change this policy, we update the date at the top of this page. If a change affects how we use data you already gave us, we will email you before it applies.
